Who is collecting it?
All forms on the Sepura.com website use the HubSpot marketing platform. All information submitted via forms is then held in Hubspot. Learn more about the security of data with HubSpot or read the privacy policy here.
How is it collected?
By using our website, we will collect information regarding your visit through the use of cookies, all of which are explained in further detail in our cookie policy. Any personal information is submitted by the individual into the respective form within the website.
Personal information may be collected by Sepura at industry events we attend; the information gathered will be similar to those listed above and use the dedicated software provided by the event. The data will be entered by the individual or a sales representative in discussion on our event stand and will be processed in line with these terms.
For users of Sepura’s Information Centre, please find further details in our IC privacy policy.
Why is it being collected?
Our use of cookies helps us to provide a better user experience of our website. Our use of personal information is to provide further information on our products and services and for directing individuals to the most appropriate sales contact or partner.
How will it be used?
Any individual information shared with us will be used only in the purposes agreed through our confirmed opt in process. We follow a confirmed opt in process to ensure you agree to receive marketing communications from Sepura. For submissions involving specific questions on our products, requests will be checked against customer information and will be handled by the Sepura Marketing, Sales or Customer Support teams, or may be referred to the most appropriate Sepura partner.
Automated decision making - profiling and how decisions are made
Subject to the information submitted, Sepura will follow our internal processes to direct enquiries to the most appropriate individual or department. This may include profiling to identify geographical region based on a company name or segmenting into relevant market areas based on company name – for example, segmenting ‘Police Force X’ into ‘Public Safety’.
These decisions are made by the Sepura Marketing team on a subjective basis and no automated profiling is in place. The processing of this data should provide you with a better experience, directing your request to the most appropriate individuals or department(s), and enabling the prompt delivery of relevant information in response. Should an issue with this arise, please contact us.
Who will it be shared with?
Contact details provided will be shared with Sepura representatives or approved Sepura sales partners where the request is for a sales quote or support. Otherwise, your information will remain in Sepura databases and tools and shared only internally within Sepura. Where information needs to be shared with another party other than those agreed to or a change is made to our policies, the individual will be notified in advance.
Is the intended use likely to cause individuals to object or complain?
There should be no reason to object to the use of your information, however if you would like to discuss the use of your data, withdraw consent or request a copy of the data held about you, please contact the Sepura Marketing team
California Privacy rights
Whilst this existing policy already complies with CalOPPA, as Sepura may have gained information on Californian residents from themselves when submitting an enquiry, Sepura wish to make it clear that California residents have certain rights to access and delete their personal information and to request transparency about our privacy practices. If you would like to access or delete your information, or otherwise exercise your rights under the CCPA, please see the section above with contact details.
Purpose of the processing and the legal basis for the processing
Our processing of data is to ensure a better experience for those visiting the Sepura website and submitting any forms to us. Our legal basis for processing is consent. The processing of data outlined above will not take place without consent provided via the check boxes detailed on our form submissions or consent to cookies.
In some cases, Sepura partners and customers may be contacted with relevant marketing and operational information using the legal basis of legitimate interest.
Retention period and criteria for determination
Data submitted to the Sepura website will be held within Hubspot with an annual review to ensure it is not being retained longer than necessary. At this point, where data has not been used for 12 months or there has been no tracked activity from the individual with the Sepura website, the data will be deleted from the system. For customers and partners, data may be held for the duration of their relationship with Sepura and in some cases longer than this to meet legal or operational requirements.
If, at any time, a request is made for deletion or to be removed from mailing lists, all information will be deleted except for the email address, which will be kept to ensure it is not re-added or emailed after it is unsubscribed.
Transferring your information outside of Europe
As part of the services offered to you through this website, the information which you provide to us may be transferred to countries outside the European Union (“EU”). For example, this may happen because our third-party form tool vendor’s servers are located in a country outside of the EU. These countries may not have similar data protection laws to the UK. By submitting your personal data, you are agreeing to this transfer, storing or processing of your data. If we transfer your information outside of the EU, we will take steps to ensure that appropriate security measures are taken, ensuring that your privacy rights continue to be protected as outlined in this Policy.
You reserve the right to lodge a complaint with a supervisory authority, as part of the jurisdiction of the United Kingdom. This should be lodged with the ICO.
